Custom vs off-the-shelf booking software: an honest comparison

I build custom booking software for a living, so you would expect this page to tell you custom is always better. It is not, and pretending otherwise is how developers end up with unhappy clients.

I live with a working lash tech, I built the booking platform her industry runs on, and I spent eight years running hospitality businesses on off-the-shelf systems. This is the comparison I wish someone had written down for me back then.

The case for off-the-shelf

Off-the-shelf tools like Fresha, Treatwell, Acuity or Square Appointments are genuinely good at the standard case. You get online booking today, not in six weeks. Someone else fixes the bugs and keeps the servers running. If you are starting out, or your booking rules are simple, this is the right answer and you should take it.

Where off-the-shelf quietly gets expensive

The costs that hurt are rarely the headline subscription. They are the ones that scale with your success:

  • Commission and new-client fees. Marketplace platforms typically take a meaningful cut of bookings they claim to have brought you, and the definition of a "new client" tends to favour the platform.
  • Your client list is not really yours. On marketplace platforms your regulars sit in an app next to your competitors, one discount banner away from trying someone else.
  • Workarounds. Every rule the software cannot express becomes a manual process: the patch test tracked in a notebook, the deposit chased by text, the returning-clients-only service policed by memory. Each one costs staff time forever.
  • Payment routing. If deposits and payments need to split across staff who each want paying into their own account, most generic tools simply cannot do it.

The case for custom

A custom system encodes your actual rules: your cancellation policy, your consent forms, your deposit amounts, your staff rotas. Your money goes straight into your own bank with no commission. Your client list lives in your database, not a marketplace.

The honest downside: it costs more up front (typically £2,500 to £8,000 in my pricing), it takes weeks rather than minutes to get live, and you need someone accountable for keeping it running, which is why I offer support retainers from £150 a month.

How to tell which side you are on

Add up what off-the-shelf actually costs you per year: subscription, commission on bookings, fees per new client, and an honest estimate of staff hours spent on workarounds. If that number makes a £2,500 to £8,000 one-off look reasonable, and it is money you keep saving every year after, custom deserves a serious look.

Common questions

Is custom booking software better than Fresha or Treatwell?

Not universally. Off-the-shelf is better when your rules are standard and the fees are tolerable. Custom is better when commission and per-client fees scale painfully, when your client list needs to be genuinely yours, or when your business rules cannot be expressed in generic software.

How much more does custom booking software cost?

A custom build from me typically costs £2,500 to £8,000 one-off, fixed price, plus an optional support retainer from £150 a month. Compare that against your true annual cost of off-the-shelf: subscription, commission, new-client fees and staff time spent on workarounds.

Can I move my existing clients and appointments to a custom system?

Yes. Migration is a normal part of a booking build. One salon that moved to Glow, the booking platform I built, migrated over 16,000 historical appointments and 5,600 client records.

Do I lose online payments if I leave a marketplace platform?

No. A custom system takes deposits and payments through Stripe, with the money going directly into your own bank account, and with no commission taken on your bookings.
